My 'Rule of 3' for Email Productivity

You’re on this page, no doubt, because you clicked through from an email that you received from me.

Being the inquisitive type that you are, you’re now interested in why I have a ‘Rule of 3’, when it comes to handling my emails.

You see, I receive approximately 200+ emails a day, and like to reply to as many of them as I possibly can by the end of the day. However, I’m a business owner (much like you, probably), and also have other daily tasks that I need to take care of, too, so I have to be smart with the way I handle this mode of communication.

In as simple terms as possible, it’s about productivity. There’s two parts to it:

Firstly… whenever I receive an email, I only ever open it once. The moment it’s opened, I’ll do one of 3 things:

  • Reply / Forward
  • Delete / Spam
  • Archive

Secondly… with every email I reply to, or forward, I will write no more than 3 sentences.

It’s that simple.

Putting in place my Rule of 3 allows my team and I to give people the replies they like to receive, yet in a way that’s focused, concise and gets to the point – fast.
