The Beginners Guide to Time Blocking for Success (Inc. My Personal Calendar Setup)

Imagine waking up each day knowing exactly what you need to do, when you’ll do it, and fully confident that by the end of the day, you’ll have made significant progress towards your goals. Intriguing, right? This level of clarity and achievement is possible through a proven system known as time blocking, a technique that some of the world’s most successful people swear by.

Introducing Time Blocking

Time blocking is a powerful technique where you divide your day into dedicated blocks of time for specific tasks or activities. Instead of working from a never-ending to-do list, you schedule your priorities directly onto your calendar. This approach allows you to decide in advance how long you’ll spend on each task. Whether you’re an entrepreneur, a busy parent, or a student, time blocking can help you juggle multiple commitments effectively. Even billionaires like Elon Musk and Bill Gates advocate for this method.

Why Time Blocking is Effective

Clarity and Focus: Time blocking ensures you’re clear on what needs to be done and when, combining clarity and focus.

Encourages Deep Work: By dedicating uninterrupted time for specific tasks, you foster a habit of focus while minimizing distractions.

Puts You in Control: Time blocking lets you decide how to spend your day, rather than reacting to the day’s demands.

Backed by Science: Studies show that working within set time constraints boosts efficiency, giving tasks a defined start and end point.

My Time Blocking Journey

I’ve experimented with time blocking before, but I’m committing fully to it this year. As someone who coaches, plans live events, and produces content, I’ve structured my week to maximize productivity. Here’s a glimpse of my current schedule:

Monday: Focus on YouTube—morning planning, afternoon shooting, with admin at the start and end of the day.

Tuesday: Big Rocks—morning for strategic planning; learning after lunch; admin and coaching in the afternoon.

Wednesday: Sales Calls—all day with admin to start.

Thursday: Team meetings and writing—followed by marketing activities.

I don’t work Fridays, emphasizing the importance of work-life balance. Meals and health activities are also scheduled for sustainability.

when you block your time, you're intentionally deciding how to spend your day rather than reacting to the demands of the day as and when they come along.

Time blocking isn’t just about productivity. It’s about finding balance. By scheduling time for self-care, hobbies, and relationships, you ensure that all aspects of your life receive the attention they deserve. Imagine the relief of knowing that everything important has a place in your day.
