My 'Rule of 3' for Email Productivity

Being the inquisitive type that you are, you’re now interested in why I have a ‘Rule of 3’, when it comes to handling my emails.

You see, I receive approximately 200+ emails a day, and like to reply to as many of them as I possibly can by the end of the day. However, I’m a business owner and also have other daily tasks that I need to take care of, too.

So I have to be smart with the way I handle this mode of communication. In as simple terms as possible, it’s about productivity. There’s two parts to it:

Firstly… whenever I receive an email, I only ever open it once. The moment it’s opened, I’ll do one of 3 things:

  • Reply / Forward
  • Delete / Spam Block
  • Archive (for use later)

Secondly… with every email I reply to, or forward, to keep the time needed to give it my attention minimal, I write no more than 3 sentences. This also makes it easier on the person I am writing to.

It’s that simple.

Putting in place my ‘Rule of 3’ allows my team and I to give people the replies they like to receive, yet in a way that’s focused, concise and gets to the point – fast.
